Payroll
Assistant

Duties and
Responsibilities
The
position of payroll assistant is part time. (S)he will report to
the Supervisor in the first instance and then to the Accountant,
and will work alongside other accounts assistants and another payroll
assistant already in post.
Specific duties
and responsibilities
- The preparation
of salary information to enter on to the payroll system.
- Accurate
data entry to the payroll system, including costing information.
- Running the
payroll to meet the payment dates as already set.
- Resolving
queries that arise from Government bodies, department heads and
individuals.
- Preparing
and sending timely payments after the payroll has been completed
e.g. Inland Revenue, pension contributions, court orders etc.
- To liaise
with the external pension advisers.
- Running and
filing all required reports.
- Checking,
adjusting and entering the payroll journal to the accounts system.
- Reconciling
payroll reports to accounts system reports on a regular basis.
- Maintaining
all records as required by law.
- Assisting
with tax year end returns and pension returns.
- To assist
in the completion of year end audit schedules and reconciliation.
Person Specification
The
person appointed should:
- have in
depth knowledge of payroll legislation and keep up to date with
changes
- be able
to calculate manual payments ; including SSP,SMP,PAYE and NIC's
etc
- have IT
knowledge of payroll, accounts, spreadsheets and electronic bank
payments
- be confidential
- be able
to keep meticulous records
- be able
to work on his/her own initiative
- be able
to prioritise work and meet deadlines as set
- be able
to work well under pressure and with good humour
- fit comfortably
into a team environment
- have adequate
interpersonal skills to manage all enquiries from staff, students
and external bodies both orally and written
Generally
As is
the nature of the Bursary office there will be other ad hoc duties.
At all times
the person appointed shall present a suitable image of the school
and maintain a polite, helpful and if necessary discreet attitude.
The person appointed
will also adhere to all the internal controls and security controls
as required.
Terms and
Conditions
Salary
on St. Clare's scale for Administrative, Clerical and Library staff
salary scales within the range of £17,416 - £20,755
per annum (pro-rata at 3 days per week, 21 hours). Starting salary
determined according to qualifications and previous experience with
annual increments (subject to satisfactory performance) and annual
cost of living increases. The St. Clare's scale is related to similar
national scales.
The probationary
period will be 6 months.
Holidays
22
working days per year, (pro rata) plus bank holidays and the period
at Christmas when the College is closed (24 December - 1 January
inclusive). The College is open on bank holidays in May and August
and work may be required on these days, with time off in lieu.
Pension
After
three months service you are entitled to join the College's group
personal pension scheme. Employer pays up to 10% of salary, subject
to the employee contributing 5% of salary, the Employer's contribution
being double that of the Employee. Pension entitlement may be backdated
to any time from the date of commencement of employment.
Other benefits
On commencement
of employment you will be eligible to join the group life assurance
plan. The benefit is a lump sum of 4 times salary for death in service.
You are entitled
to free meals in the College dining room, during the working periods
on days during the academic year and major summer courses on which
you are working and when meals are being served to students.
