Assistant House Manager - Logan House

Background to the post
Logan House, 382 Banbury Road, is a relatively new building providing superior accommodation for about 47 of our older students of both sexes, mainly in self-contained flats.

Logan House has been in use since January 1996 and was formally named and opened by the Rt. Hon. Douglas Hurd MP. It is managed by a House Manager and an Assistant House Manager, ideally one male and the other female, who share the evening and weekend duties. As the two managers share the duties, no relief managers are provided by the College either at weekends nor during the holidays of either of the managers. The House is occupied by resident students almost all the year round.

The current House Manager is Rory Kelly, who also teaches at St Clare's on the International Baccalaureate and English courses.

Outline Job Description

Reporting arrangements
The Assistant House Manager reports to the House Manager and overall to the Assistant Principal.

Duties and Responsibilities
Working under the direction of the House Manager, there are three main areas of responsibility:

  • care and oversight of the students
  • enforcement of the House Regulations
  • management of and care for the fabric of the building

Specifically while on duty to:

  • manage the house according the House Regulations - educate the students into greater care and consideration for the community at large and the needs of our neighbours
  • be responsible for the security of the building by checking and locking all doors and windows in public areas between 23.00 and 24.00hrs
  • to settle students returning to Lohan House from leisure activities at this time of night
  • be the person to receive phone calls or personal visits from neighbours
  • be available to students in case of need
  • assisting the House Manager by
    • reporting maintenance problems to the Estates Manager
    • checking first aid and security equipment
    • running fire drills periodically (having received direction from the College Fire Officer)
  • with the House Manager, being responsible for the weekly checks on the fire alarms and safety system

Dealing with colleagues by:

  • reporting all serious breaches of regulations to the House Manager
  • liaising with Student Services
  • liaising with Housekeeping and the Estates Manager
  • reporting criminal incidents to the Assistant Principal, who normally co-ordinates contact with police (the House Managers may, of course, when necessary, contact the police themselves)
  • liaising with colleagues on matters relating to student welfare
  • being available on 'arrivals days' to welcome and orientate new students
  • other tasks as assigned by the Principal, Assistant Principal or House Manager

Duties will be reviewed and possibly adjusted from time to time.

Hours of Work
Duty runs from 19.00 to 07.00 the next morning, requiring physical presence in the building during all that period. (The exception being in an emergency, e.g. when a student may need to be accompanied to hospital. Then a senior student should be nominated to be in charge, if the House Manager is not in the building.) Other duties will be 182 duty evenings each year, arranged in conjunction with the House Manager.

Holidays
Subject to the requirements above, other days are regarded as holidays. Blocks of holiday may be taken only at Christmas and Easter and for no more than 2 weeks as a block in the summer.

Requirements for applicants

  1. The flat is suitable for a childless married couple or a single person only.
  2. Applicants should have a level of education which will allow them to communicate effectively, both in written and oral form with students, their parents, their College colleagues and the neighbours in this part of "academic" north Oxford.
  3. The post is not suitable for anyone who has regular evening or weekend work or has a post, such as full-time teaching where the holiday entitlement may conflict with that of the Assistant House Manager post. The post is suitable for someone with a full or part-time day position or someone who does a lot of work from home, such as a research student.
  4. Primarily applicants should have the ability to deal sympathetically with an international group of young adults, but also have the strength of character to deal firmly when necessary with breaches of house regulations. To have been in a situation dealing with students of this age range previously would be an advantage.

Because of the nature of the post we are required to undertake a Criminal Records Bureau check on the employee. Any partner of the employee would also need to be checked and acceptance of this check is a condition of employment by St Clare's, Oxford.
